Issues with two email systems

Issues while the campus has two email systems operating at the same time

 

Incoming messages sent to the old and new email addresses will be forwarded to the new email account when the conversion process is completed.

 

Campus messages marked as "Junk" - Messages from GroupWise email addresses are moved to the Junk Mail folder in the Netscape email client. This is because Netscape Junk Mail Controls views the GroupWise email address as new.

Please check the Junk folder to see if anything has inadvertently been moved to this folder and turn off the junk mail icon to . This will let Netscape junk control settings realize that the address is acceptable. This will occur throughout the conversion process. (This will be resolved once everyone is on the new email system.)

 

Campus messages blank - Some Netscape users are receiving blank messages from GroupWise users. To resolve this issue GroupWise users should send text only messages to those users that notify you that the message you sent them is blank. To change a message to plain text, select the icon from the icon menu bar in GroupWise. (This will be resolved once everyone is on the new email system.)

  New features available in GroupWise email system will not be accessible in the Netscape email system. Once the entire campus is moved these features will be available to all.

 

Public is not accessible in GroupWise email client. To send a message to all campus employees send to employees@mailman.armstrong.edu . This list serve is moderated and only available to AASU employees. For more information please contact the Helpdesk at CIS.Helpdesk@armstrong.edu.

Top Voice mail notification no longer work when you move to GroupWise Email System since your email address has changed. The email address needs to be updated in two areas.  To update your account log into www.gavoicemail.com and update your email address by selecting "options" and then select "message forwarding" and also select "personal profile" to make the updates.

Windows 2000 and Windows XP

 

Group Creation - We have found that groups created within the Address Book are not keeping those addresses from the Novell GroupWise address book. The following instructions allow groups to be created in GroupWise Client:
To create and save a personal group

 

  1. Click on the "Contacts" tab.
  2. Click on the "New Group" button.
  3. Enter a Name for the Group.
  4. Click on the "Add" button.
  5. Select the appropriate address book from the drop down.
  6. Locate the person you wish to add and double-click their name OR click once on their name and then click the "To" button on the top of the window. The name will appear in the column on the right.
  7. Follow steps 5 - 6 for each contact you wish to add to the group OR click "New Contact" to enter the information for someone who is not listed in your address books.
  8. Click "OK".

Your group should appear at the top of your Contacts listing, or under your Frequent Contacts address book.

 

Spell Checker - The GroupWise email client is not able to add new words to the spell checker word list when WT61US.UWL is set at "Read Only". The file is set to "Read Only" during the install process, but can be updated for Windows 2000 and XP users through the NAL Window by clicking on the GW_DirList_LDAP_Update application. Instructions below are how to manually update the application:

  1. User must be logged in as Administrator.
  2. Double click on "My Computer" icon on the Desktop.
  3. Double click on "C:" drive.
  4. Double click on "Documents and Settings".
  5. Double click on "Administrator", then click on "Tools" in the menu bar and select "Folder Options".
  6. Select the "View" tab and select the radio button next to 'Show Hidden Files and Folders." Click "Apply" and "OK."
  7. Double click the "Local Settings" folder.
  8. Double click the "Applications Data" folder.
  9. Double click the "GroupWise" Folder.
  10. Right click on the last GroupWise file "WT61US.UWL" and select "Properties". On the "General" Tab, deselect "Read Only" and click "Apply" and "OK".

Macintosh

AASU LDAP Address book is not able to be added to the GroupWise Address book. Macintosh users are asked to use the Web Mail client to build up frequent contacts for a few weeks or use the Web Mail client until the entire campus is moved to the new system.

Message sorting is not available in the web mail client.

The option of toggling the view for tasks, appointments and notes can only be done in the week and month views of the GroupWise Calendar.

GroupWise IMAP Settings
 

When accessing the GroupWise email server with other non GroupWise software applications the incoming and outgoing server is snet.armstrong.edu. When using other email clients the spam filters at the server level will not apply, the calendering system for individuals and departments and archiving capabilities will not be available. Please note that CIS can only support the GroupWise email clients.
